ERMS Online - How to Use the Received Referrals Page:
With the latest ERMS Online Update (January 2025), the Received Referrals screen has been enhanced to assist our users and add more functionality.
A couple of things have changed, the filter buttons at the top of the screen have been moved around, and new buttons / icons have been added.
Facility View vs My View:
By default, most Service Providers are set up with 'Facility View' and this generally will not change, it should always be on 'Facility View':

'All Referrals' vs 'Requiring Action' and the Pre-Date Filters:
By default, your view should be on 'Requiring Action' in the 'Last Week' as shown below:

Requiring Action / All Referrals is based on the 'Status' column of the page. There are different states your referral can be in, they are:
- Provider Review Pending.
- Provider Accepted.
- Provider Declined.
All the states listed above will appear in your 'All Referrals' filter, but only 'Provider Review Pending' will appear in your 'Requiring Action' filter.
All ERMS Online users have access to the following pre-set date ranges:
- Last Week = Last 7 Days.
- Last Month = Last 30 Days.
- Last Three Months = Last 90 Days.
- Last Year = Last 365 Days.
Changing the pre-date range or adding any additional information in the column search fields, you will be required to select the 'Search' button at the top of the screen each time:

We are now displaying how many referrals that are 'Requiring Action' so you can see this information and action these. No referrals should be left in the 'Provider Review Pending' state. We need our users to close the referral loop by actioning your referrals.
The badge in the top right corner looks like this:

If you hover your mouse curser over the first number (2), it says 'Current view referrals requiring action'.

And if you hover your mouse curser over the second number (886), it says 'Total referrals requiring action':

Our current view is set to: 'Last Week' (So any referrals sent to you in the last 7 days), where the referral is 'Requiring Action', (Meaning our referrals are in the state of 'Provider Review Pending') and someone will need to go into your ERMS Online portal and 'Action' these referrals. i.e. Accept or decline them.
If we change our filtering to 'Last Year' and then select 'Search', we can see more of our older referrals that were accidently left in the state of 'Provider Review Pending'.

How to See Past 365 days:
We have now provided you with the ability to see older referrals that were sent to you more than 1 year ago. To do this;
- On the 'Referral Date' column, select on the arrow beside the date, to bring up the date picker window;

- Select on the arrows that are beside the Month and Year to go back and forth a few months:

- Alternatively if you are wanting to go back further, clicking on the month will then show you a list of 'Months' in that year;

- And then if you select on the 'Year' at the top, it will show you the years, to go back even further:

- Once you have selected your date of how far back you would like to go, select the 'OK' option at the bottom right corner of the date picker:
Note: I have chosen the date '1 January 2020' in my example shown below;

- Select 'Search' in the top right corner of the 'Received Referrals' screen again;

- Now I can see I have 880 referrals in my current view out of 886:

- However, this will only show you the referrals that are requiring action. If you need to see referrals that you have already actioned, ensure you select 'All Referrals' within your search:
You can refine your search if you know the Patients NHI , right now for this facility, we can see a total number of referrals this facility has received from 1 January 2020, as shown at the bottom of the screen in the bottom right corner (Note: you will most likely have to scroll to the bottom to see this):

To refine your search, enter an NHI Number in the NHI Column and select 'Search';
Note: The NHI I am using is a test NHI which is used A LOT in our testing, so will provide much more results in this scenario than a real patients NHI would.
